Part-time Office Co-ordinator / Executive Assistant - East London - £30,000 - REF: X_QJG28552

A Charity based in East London is looking for an Office Co-ordinator / Executive Assistant to join their team, you will report to Head of Finance and Operations. You will oversee the day to day running of the office and ensure offices are clean, presentable and well maintained at all times along with providing general administrative support to the Chief Executive and team.

Main duties:

  • Organise the regular maintenance and repair of office equipment
  • Execute administrative tasks that are delegated
  • Provide general secretarial duties, including typing, minute taking, organise meetings, booking rooms, managing the inbound and outbound post
  • Managing diaries for the Chief Executive and Management Team
  • Prepare and distribute board and committee papers in preparation of meetings
  • Attend and minute take board and committee meetings
  • Proof read documentation with a high attention to detail
  • Manage the day to day management of the Office 365 account
  • Work alongside external IT provider to ensure all software and hardware is working
  • Support the Head of Finance with general support
  • Coordinate all invoices, receipts and items for payment
  • Support the CEO with the delivery of communications including management of social media accounts


  • Minute taking, copy typing and proof-reading experience to a high standard is desirable
  • Able to proactively research and solve problems that may arise
  • Strong IT literacy with experience of Office 365
  • Experience of working in a small professional team / office
  • Possess some knowledge of the voluntary sector
  • Ability to prioritise tasks with minimal supervision
