Our client is seeking an experienced, proactive and articulate Block Manager with an ARMA or IPRM qualification. The Block Manager for this company is required to provide efficient, customer-centred Block management services to their portfolio of approximately 1,300 units. As such, the ideal candidate for this Block Manager role will be experienced in managing a large portfolio of property across multiple sites, and will be able to demonstrate excellent time management and organisation skills. The successful candidate for this Block Manager role will adhere to legal practices and guidelines strictly, and aim to maintain client retention, and on-board new clients.
Key responsibilities:
Customer service
· Liaising with leaseholders and block directors, ensuring they are kept updated on matters and notes are on the system. Demonstrating tact and diplomacy in handling sensitive matters.
· Attending out of hours emergency calls on rotation, including management of emergency phone.
Block management administration tasks
· Day to day block management duties: proactively develop service levels across the portfolio to exceed client expectations, advising client of management set-up, and communicating with residents (and concierge staff, where appropriate) to inform log of each site.
· Planning cyclical maintenance, managing reactive works and on-boarding/monitoring contractors. Ensure only approved contractors are instructed. Regularly monitor service delivery of contractors.
· Regularly visit your portfolio to carry out a thorough site inspections. Visit reports should follow to block directors and management team.
· Organising, attending and chairing AGMs for each block, including sending the relevant notices and preparation of a report of the AGM to be released in a timely manner.
· Preparing budgets, service charges demands and ground rents, including reconciliations and timely chasing of arrears.
· Liaison with accounts team for production of blocks accounts, ensuring timely submissions to Companies House and HMRC.
· Attend regular team meetings, and provide monthly department reports on the blocks portfolio.
· Liaising with Insurance Brokers to ensure any claims are dealt with in a timely manner.
· Updating leaseholder and tenant information, ensuring data is accurate on the system.
· Reviewing record keeping procedures, ensuring the database is updated and accurate.
· Ensuring your direct reports are working to required standards.
Legal compliance
· Keeping up to date with legislation and demonstrating an awareness of approaching changes and major case law. Pre-empt legislative issues which may affect the properties under your control ensuring that team members share the knowledge.
· Remaining compliant with data protection, governance and confidentiality guidelines.
· Carrying out statutory consultation procedures ensuring guidelines are met.
· Demonstrating and applying an understanding of all service agreements in place within your portfolio, including legislation and codes of practice. Being able to read and understand leases.
Maintaining and exceeding targets
· Meeting service level KPIs including maintenance repairs, sales packs, email/letter responses, etc.
· Introduce innovative ways to improve what we do and to anticipate and alleviate potential problems. Working with management to put measures in place to prevent problems recurring.
Essential qualities for a successful Block Manager
Successful Block Manager candidates will possess the four criteria most important to our client: Pride, Performance, passion and professionalism, as well as the following:
· The successful candidate will ideally have a minimum 2 years' experience in a Block/Property Manager role.
· Preference will be given to candidates who have an industry recognised qualification such as ARMA or IRPM (this is advantageous, but not compulsory).
· The successful candidate will be a confident communicator, with excellent problem-solving and decision making abilities, and interpersonal skills.
· The successful candidate will be a good team player, with ability to multi task and work to deadlines and changing priorities.
· Good work ethic - punctual and reliable.
· Full and clean driver's licence (desirable, but not essential).
Office: Mon to Fri, 9.00 - 17.30 - the successful candidate will need to be flexible between two offices in SE1 and HA2.
Nature of Role: immediate start - role is permanent.
