Job Title: Accounting & Payables Specialist
Classification: Regular, full-time (1.0 FTE), exempt
Reports To: Chief Financial Officer

***Due to COVID-19 this role is currently working primarily remotely. Given the nature of the position, there will be the need for regular trips into the office to retrieve mail and make deposits. Once the Alliance for Education office reopens, this role will also have an onsite component in downtown Seattle.***

Position Summary:

The Accounting and Payables Specialist is a key member of the Finance and Operations Department. The Accounting and Payables Specialist works collaboratively with the Chief Financial Officer and the Manager of Accounting & Fiscal Sponsorship Services to provide timely payments, fiscal accountability, and reliable financial reporting. This team member will support payables for general operations and for programs that disburse support to students, families, and volunteer led programs within Seattle Public Schools. The scope of the work also includes, but is not limited to, cash receipts processing and supporting the general work of the Finance and Operations Team in the accomplishment of team goals and objectives.

Critical Job Functions

The following describe the critical functions of the role, but do not provide an extensive list of job responsibilities and duties.

Accounts Payable ~40%

  • Verify authorizations and account balances and code invoices/disbursement requests to ensure proper entry to accounting system
  • Enter approved payables to the accounting system and generate payments
  • Work closely with vendors, Alliance staff and school account advisors to research and resolve payables inquiries
  • Monitor outstanding payments, resolve issues, and complete annual report of unclaimed property
  • Complete annual 1099 reporting
  • Maintain an accurate accounts payable records system

Fiscal Sponsorship Program ~10%

  • Receive, research, and resolve a variety of inquiries from school account advisors, other external contacts and staff concerning school accounts (including providing balance updates and report requests)
  • Produce and distribute financial reports to school account advisors

Other Support to Finance & Operations Team ~45%

  • Prepare deposit documentation for batching
  • Record batched cash receipts to accounting system
  • Assist the Accounting Manager and CFO in preparing account reconciliations, audit schedules, and other financial information
  • Maintain fixed asset records, update regularly as needed
  • Maintain shared office equipment (printer/copiers, phones) and related vendor relationships
  • Assist CFO with projects related to office and building environment including lease and lease-related maintenance projects
  • Other duties as assigned

Organizational Contributions ~5%

  • Attend weekly meetings of all staff
  • Participate in the diversity, equity, inclusion, and antiracism work of the Alliance

Skills and Qualifications

  • 2+ years of experience in accounting or finance
  • Demonstrated understanding of fund accounting, accounting systems, and generally accepted accounting principles (GAAP)
  • Strong foundation in accounts payable processes, procedures and reporting requirements, including W-9's, sales and use tax
  • Proficient with accounting software systems, and MS Office applications; particularly Word, Outlook and Excel
  • Must be able to work efficiently and effectively with customized databases and technology, and conduct internet research as needed
  • Demonstrated organizational ability and a strong attention to accuracy and detail
  • Demonstrated ability to handle multiple tasks successfully
  • Demonstrated ability to prioritize independently
  • Demonstrated ability to work collaboratively with others in a team environment and across departments
  • Strong customer service orientation with both internal and external contacts
  • Thoughtfully works with other departments and teams to research, resolve internal and external inquiries, competing demands, sensitive situations and recommends and implements improvements

Preferred Qualifications

  • Experience with nonprofit accounting
  • Experience with Abila MIP Fund Accounting software
  • A bachelor's degree or equivalent experience
  • Familiarity with Raiser's Edge or other fundraising database systems
  • Experience working in education and/or diverse work environments

The Alliance for Education is affiliated with the Seattle Metropolitan Chamber of Commerce. Staff members of the Alliance are officially employees of the Seattle Metropolitan Chamber of Commerce and participate in Chamber benefit plans, but do not report to Chamber staff. The Chamber is committed to internal and market equity. The salary range for this opportunity is $49,500-$67,000 and we're open to considering a leveling of Specialist or Manager depending on the skills and qualifications of the person hired.
