We're looking for a Part-Time Bid Administrator to join our Bid Team, providing vital administrative support to ensure the smooth running of our bid processes and supporting the wider team to deliver high-quality submissions on time. The hours for the role are Monday to Friday 8.30am - 12.00pm.
This role is an excellent opportunity for someone who enjoys keeping things organised and who takes pride in supporting a team that plays a key part in Clancy's continued success in securing new projects.
Here are some of the activities you will be involved in…
- Book hotel accommodation and meeting rooms as required for the Bid Team and stakeholders involved in live bids.
- Manage the bids inbox, ensuring all enquiries and incoming information are captured and shared promptly with the Bid Team.
- Raise purchase orders (POs), check contractors' timesheets against BP invoices, and goods receipt POs so Accounts can process invoices efficiently in support of bid-related activities.
- Upload renewal health & safety documents, insurance certificates, and policies to various bid portals, ensuring bid submissions remain compliant and up to date.
- Support the onboarding of new starters joining the Bid Team, including arranging ID badges, IT equipment, car registration, and D&A testing.
- Manage PPE, stationery, and other orders to support the Bid Team's day-to-day activities.
- Create Teams sites for bids and upload documents to ensure the Bid Team has organised, accessible collaboration spaces for each tender.
- Handle printing requests and other administrative duties to ensure the Bid Team can operate efficiently.

You have previous experience in an administrative role, ideally supporting a busy team where accuracy and meeting deadlines are key. You will be organised and detail-oriented, with the ability to prioritise tasks to support a dynamic team environment.
You will have strong communication skills and be comfortable using MS Office and online portals, with a proactive, positive approach to your work. You will enjoy being part of a collaborative team that is central to Clancy's success in securing and delivering projects.
