Fleet Administrator

We are excited to welcome a skilled Fleet Administrator to oversee essential operations within our Fleet department. This role is integral to maintaining operational efficiency and compliance across our expansive vehicle fleet. 

Day-to-Day Responsibilities:
  • Manage the issuance, updates, and cancellations of fuel cards, maintaining accurate records in the fuel card register.
  • Produce detailed reports on fuel usage, highlighting high and premium fuel consumption.
  • Oversee vehicle documentation, including maintenance scheduling, defect reporting, and record-keeping for Heavy Goods Vehicles (HGVs).
  • Regularly update driver information, including tachographs and logbooks.
  • Maintain and update fleet registers using Excel and bespoke internal systems.
  • Analyse fleet-related data, making updates to internal systems and coordinating with the Fleet Management company as necessary.
  • Process Penalty Charge Notices (PCNs) and Notices of Intended Prosecution (NIPs), managing related payments and recharges.
  • Issue purchase orders to external suppliers and coordinate the logistics of vehicle delivery and collection.
  • Support invoicing processes, handle routine data entry tasks, and manage general administrative duties.
  • Ensure all internal records and databases are meticulously maintained and up to date.
Required Skills & Qualifications:
  • Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Email).
  • Strong organizational skills with the ability to meet deadlines and manage pressures professionally.
  • Innovative thinker with a proactive approach to problem-solving and process improvement.
  • Exceptional administrative abilities with a methodical approach to task management.
  • Analytical mindset with meticulous attention to detail.
  • Self-starter with the capability to initiate and implement effective solutions.
