GP Practice Manager / Coordinator & Quality Manager - Private Healthcare - Small Private GP - £50k circa - Central SW London - 12 month contract

A small, friendly, private GP practice (3 GPs, 2 medical secretaries and a receptionist) in central London, is looking for a Practice Coordinator and Quality Manager to join the team. This is a 12 month contract initially, to cover maternity leave. They want someone who has experience in a private practice, to be responsible for the efficient, effective and safe management of the Practice. The role involves managing the Practice's regulatory compliance requirements, supplies and inventories (both office and medical/pharmaceutical). This role does NOT involve managing staff or dealing with HR issues. Ideally, you will have worked your way up to this type of role and have exposure as a medical secretary, through to a coordinator role in a small private practice.

SALARY ETC:

* £48,000 to £54,000, depending on experience potential annual bonus.

* Central SW London

* Role to start mid-November 2025 and to finish on 31st December 2026.

* Hours: Monday to Friday 8:30am to 6:00pm. This is an on-site role, although after 3-months there may be a possibility to work 1 day from home, depending on practice needs.

REQUIREMENTS:

* Knowledge & experience of Doctors General Practice, particularly in the private sector. To have worked in a private practice, working through various roles, up to a senior / coordinating job in a private practice (this is not a management or HR based role)

* Previous experience of CQC (care quality commission) in the primary care setting

* Previous experience with Xero accounting software, Proficient at all Microsoft packages such as Word and Excel

* Excellent oral and written communication, good organisation and time management skills. Excellent at multi-tasking skills, prioritisation, and attention to detail, and Accurate numeracy skills

* Charismatic individual who can work well within a team, as well as ensure high standards of patient care, understanding the expectations from patients and colleagues in the private healthcare sector.

DUTIES TO INCLUDE:

* Overseeing the practice's regulatory compliance across key areas

* Ensuring products and services meet the patient requirements and good practice standards.

* Handling the management of both office and medical/pharmaceutical supplies and inventories.

* Provide secretarial support as needed.

* Management of AP/AR, debt collection and financial reconciliation.

* Ensure the practice's business insurance and individual doctor indemnity insurances are up to date and have the appropriate level of coverage.

* Perform price list reviews of vaccines, drugs and laboratory tests and increase as necessary in Semble. Update fee list as needed.

* Perform PCI compliance requirements (annual audit/questionnaire & quarterly scans)

* Business name registration, Review of insurance coverage, Employee Group Healthcare Policy renewal, Company car insurance review/renewal. Propose and conduct audits across the practice's services at planned intervals. Feed data from these audits back in to the QMS for quality improvement purposes;

* Hold an annual meeting with the contracted health and safety consultant to ensure processes and procedures are up to date.

* Orchestrate infection prevention and control audits as required by practice policies, the quality management system, and CQC.

* Quality Management System (QMS);

* Arranging Clinical Governance Meetings by preparing agenda, documents, and recording minutes.

* Oversee tax allocations, Corporation Tax, Rent & Service Charges.

* All other financial allocation requirements, including insurance and medical indemnity.

* Organise, conduct, and document practice meetings.

* Review incoming supplier bills and schedule their payments. Flag any incorrect charges, and reporting to the necessary suppliers for resolution. Oversee debtors list and chase overdue payments
