About the Role

We are looking for a Senior Document Controller to take a leading role in managing how project information is organised, monitored, and delivered across a major Alliance programme. This position is responsible for ensuring that every document produced throughout the lifecycle of the project is tracked, controlled, and stored correctly. You will oversee the document control team, champion best practice in information management, and work closely with technical, commercial, and management teams to maintain a reliable and fully auditable document set.

What You Will Do

  • Provide leadership and daily oversight to the document control team, fostering consistent working practices and high performance.
  • Act as the main reference point for all matters relating to document control across the Alliance.
  • Coordinate all document management activities, ensuring strict alignment with internal processes, client expectations, and overarching governance requirements.
  • Maintain full visibility of documentation flow from design through to construction and final handover, ensuring compliance at every stage.
  • Collaborate with planners, engineers, and project leads to keep deliverable schedules (TIDP/MIDP) accurate, up to date, and achievable.
  • Guide internal teams and subcontractors through document submission standards and ensure correct protocols are followed.
  • Take responsibility for the configuration and upkeep of key document management systems such as SharePoint, A-Site, and ProjectWise.
  • Deliver training sessions, provide user support, and help teams embed robust document management habits.
  • Attend project meetings and ensure that agreed actions, decisions, and information requirements are properly captured and managed.
  • Produce clear reporting on document control activity and support wider programme reporting where required.
  • Oversee long-term archiving and storage processes to maintain easy access to historical and current documentation.
  • Identify inefficiencies in document processes and drive improvements across the wider information management landscape.
  • Support audits, compliance checks, and continuous improvement initiatives across the Alliance.

What You’ll Bring

Essential

  • A strong background in document control within construction, engineering, or similar complex project environments.
  • Confident use of Microsoft Office tools and experience with SharePoint.
  • Hands-on experience with document management platforms such as ProjectWise or A-Site.
  • Strong communication skills and the ability to work well with a wide range of stakeholders.
  • Highly organised with excellent time-management capabilities.
  • Meticulous attention to detail and a commitment to accuracy.
  • A clear understanding of how effective document control contributes to successful project delivery.

Desirable

  • Experience leading or supervising a document control team.
  • Previous involvement in Alliance-based or multi-organisation project structures.
  • Knowledge of ISO 19650 and its relevance to structured information management.
  • A full driving licence.
  • Relevant qualifications in information management, construction, or a related field.
