We are seeking a proactive and highly organized WIP Coordinator to join our client maintenance operations team in Billericay.
This is a key role responsible for ensuring all planned and reactive maintenance tasks are accurately tracked, updated, and completed within agreed timeframes. You will play a vital part in improving workflow efficiency, supporting engineers, and maintaining accurate records for operational and financial reporting.
Key Responsibilities- Maintain and update the Work in Progress (WIP) register for all planned and reactive maintenance jobs.
- Track job progression from scheduling to completion, ensuring engineers and contractors meet SLAs.
- Liaise daily with engineers, supervisors, and subcontractors to obtain status updates.
- Prioritise and coordinate outstanding works to support the scheduling and dispatch teams.
- Ensure all job sheets, compliance documentation, permits, and remedial reports are completed before closing tasks.
- Support month-end processes by validating WIP data and preparing reports for invoicing.
- Maintain accurate records within the CAFM system and support data audits.
- Escalate delays, risks, or repeat issues to management for intervention.
About You- Experience within the maintenance, FM, engineering, or repairs industry (helpdesk, scheduling, coordination, or administration roles beneficial).
- Strong organisational skills with excellent attention to detail.
- Confident communicator able to work effectively with engineers, contractors, and internal teams.
- Proficient in Microsoft Office, particularly Excel.
- Experience using CAFM systems is desirable.
- Ability to work under pressure and manage multiple priorities.
