Purchasing & Finance Administrator - Reports To: Managing Director
- Location: Hybrid (4 days in-office in Ramsgate, 1 day remote)*

You’ll manage customer procurement, support financial operations, maintain records, and ensure compliance, playing a pivotal role in the smooth running of our financial processes.
Key Responsibilities: - Quotation Generation: Create accurate client quotations for items like laptops and hard drives.
- Order Processing: Handle customer orders, coordinate fulfilment, track shipments, and manage modifications or cancellations.
- Procurement: Maintain purchase orders, inventory levels, and develop cost-saving sourcing strategies.
- Stock Room Management: Conduct monthly stock takes, manage loan equipment, and oversee IT equipment disposal.
- Renewals: Support contract and license renewals and make necessary adjustments.
- Finance Support: Assist the Finance Officer with administrative tasks, record keeping, and direct debit processing.
- Financial Records: Help maintain accurate financial records and reconcile discrepancies.
- Accounts Management: Process invoices, track payments, and manage accounts receivable.
- Administrative Duties: Offer general support to the business and handle incoming calls.
- Budgeting Assistance: Aid in budget and forecast preparation.
- Communication: Maintain professional liaison with departments, vendors, and clients on financial matters.
- Financial Reporting: Generate reports as needed by management.
- Meeting Support: Attend finance meetings, assist with agenda and documentation.
- KPI Monitoring: Track and report on KPIs.
- CRM Management: Keep CRM system updated with client information.
Additional duties may be assigned as needed.
Skills Required: Essential: * Strong numerical and analytical abilities with keen attention to detail. * Proficient in Microsoft Office, especially Excel. * Excellent organizational and time management skills. * Effective written and verbal communication. * Independent and team collaborative work capacity. * Integrity and discretion with sensitive information.
Desirable: * Bachelor’s degree in Finance, Accounting, Business Administration, or related field. * Experience in a similar finance or accounting role. * Proficiency in accounting software, preferably Quickbooks. * Knowledge of financial regulations and compliance.
Working Hours: Monday to Friday, 0900 – 1700.
