JOB TYPE: Temporary

SALARY: £18000 - £20000 per annum

Our client is looking for an experienced administration to join their team based in Thatcham paying up to £20,000.

This is a 3 month temporary to permanent position.

Duties to include but not limited to;

* Prepare invoices for authorisation of payment.
* Produce and maintain the Fleet Department blanket purchase orders system.
* Place orders on behalf of the workshops for Freight Transport Association stationery.
* Assist the department as requested with the necessary procurement of vehicles and plant equipment and with the arrangement of new vehicle/plant product familiarisation.
* Assist as requested with the arrangements for chassis and body training for technicians and maintain records.
* Assist where necessary with the vehicle disposal operation.
* Assist with the issue of monthly vehicle tax.
* Obtain on-line reports from DVSA website on a monthly basis and distribute.
* Create and update Excel spreadsheets with data such as vehicle test results, damage costs and invoice data collated from workshops and report on this data on a monthly basis.
* Update and maintain Fleet/Plant computer system (develop where necessary).
* Update and maintain approved contractors/suppliers data.
* Take suitable minutes at meetings when required.
* To prompt on time return of requested information for collation to include technical bulletins and vehicle recalls.
* Record and maintain holiday records for Workshop Managers, Workshop Administrators and Fleet Department.
* Take phone and email messages and forward in an accurate way.
* Maintain vehicle/plant/general files and archive when necessary.
* Photocopying and filing.
* General administration duties to ensure the Group Fleet Engineer and Fleet Engineers and departmental needs are satisfied.
* To offer administration holiday cover within the Fleet Department reporting directly to the Group Fleet Engineer.
* Ad-hoc projects relevant to the role and future development within the department.
* Hire of commercial vehicles, including insurance notification etc.
* Ensure full compliance with all Company policies and procedures including health and safety and employment.
* Any other duties, such as ad hoc projects, as requested by the jobholder's Manager or the Board of Directors that are within the skills and capabilities of the job holder.
