We are currently looking for an experienced Front of House Supervisor who will play an integral part in the management and delivery of outpatient services by providing support, management and leadership to the Front of House administration team.

In collaboration with team leaders, the supervisor will be responsible for the day-to-day management/supervision Front of House administration team, and will ensure that the department delivers high standards of service in an efficient way and in line with Hospital's and Departmental standards.

Located in leafy St John's Wood on the Jubilee line, minutes from Central London, our luxury private Hospital has an international reputation for providing the highest quality of care to patients and is unique in that all profits fund our onsite Hospice, St John's.

Am I the right person for this Front of House Supervisor role?

Educated to Degree level in a relevant subject, or equivalent experience or qualification

Project management qualification (Prince 2 or equivalent) - desirable

Prepared to undertake further training / qualifications relevant to the role

Previous management/supervisory experience

Previous experience in a customer service role

Previous experience working in private healthcare or NHS setting - desirable

Previous systems administrator experience with RIS or clinical scheduling software - desirable

Strong management and leadership skills

Team building skills

Able to develop, implement and manage change

IT literate to include Windows, Microsoft Word, Excel and Access

Ability to process data and amend computerised records

Good organisational skills and able to work to tight deadlines

Ability to work in a busy environment and under pressure

What are the Responsibilities of this Front of House Supervisor role?

To provide day to day management/supervision, leadership and support to administrative staff members

To proactively manage staff rotas, annual leave and flexi time to ensure adequate cover for effective service delivery, escalating any issues that cannot be resolved to the appropriate senior colleagues

Review services provisions for the following day and escalate any potential issues to the deputy head of Patient Services

In collaboration with the Deputy Service Manager of Physiological Sciences, maintain the consultant Cardiologist floor plan and approve any requests for ad hoc clinics

Support senior management in the development and implementation of any services development or organisational changes

To ensure the service is delivered in line with the budget and financial performance targets

Prepare activity and service reports for the Deputy Head of Patient Services

Ensure all staff are compliant with the Hospital practices, policies, guidelines and procedures, ensuring compliance at all times. Challenging, reporting and investigating any non-compliance with the support of the senior management

Will be a system administrator for RIS and to lead on administrative management of the system, update and maintain the physician list in RIS manager

Ensure departments and staff are working in compliance of the latest GDPR regulations

Ensure patient data capture is accurate in order to submit statistics for PHIN

Monitor data quality for all administrative areas within the directorate through audits. Ensure KPI dashboard is maintained and updated accordingly

Review daily/weekly/monthly BI reports from RIS to ensure high quality of the data and action any discrepancies

Support the leads in investigating any billing/invoices or administrative queries

Support the team in administrative duties during busy periods or staff shortages

To liaise with patients, public and staff as necessary to carry out the role, maintaining a professional, polite and respectful manner

Proactively deal with potential situations of conflict to diffuse and prevent complaints

Ensure all department and organisational audits are completed as required

Prepare performance and quality reports as requested by senior management

Be accountable for own standards of work in accordance with departmental policies and procedures, and take every opportunity to sustain and improve knowledge and skills

Be an ambassador of the Hospital's values

Participate in projects, reviews and work schemes as directed by the Line Manager
