Administrative Assistant
We are seeking a highly organised and proactive Administrative Assistant to support our Senior Leadership Team and manage daily administrative tasks. This role is crucial in ensuring the smooth operation of our school's administrative functions, including managing review meetings, monitoring behaviour, and overseeing reception duties.
Day-to-day of the role:
- Lead the organisation of Review Meetings, including the preparation and distribution of reports and Education Health and Care Plans. Ensure minutes are accurately taken, checked, and circulated along with annual review forms.
- Monitor Behaviour Watch and complete online Accident Reporting submissions, liaising with staff and the Senior Leadership Team to maintain accurate records.
- Cover the roles of the Full-Time and Part-Time Administrative Assistants during their absences, which includes managing the reception area, overseeing school uniform stock, arranging classroom cover, and other administrative duties.
- Serve as the first point of contact at the school reception, handling enquiries both telephonically and in person, ensuring adherence to security procedures.
- Manage daily mail distribution using the franking machine and maintain up-to-date records of pupils and staff on the school’s management information system.
- Assist in maintaining pupil files for new admissions and leavers, ensuring all documentation is correctly filed and transferred.
- Order materials and equipment, ensure deliveries are matched with orders, and manage the distribution of received goods.
- Perform general administrative duties such as filing, typing, managing emails, supporting the school website, and handling school calendar updates.
- Liaise with Health Services to arrange necessary appointments for students.
- Minute various meetings as required, including staff and Governor Committee meetings.
- Maintain confidentiality and discretion at all times.
Required Skills & Qualifications:
- Proven experience in an administrative role, preferably within an educational setting.
- Strong organisational and multitasking skills.
- Excellent communication and interpersonal skills.
- Proficiency in using office management systems and software, including Integris.
- Ability to work independently and as part of a team.
- Commitment to maintaining confidentiality and handling sensitive information.
