Proposals Coordinator

On behalf of our client a highly respected maincontractor based in Hertfordshire ,we are seeking a highly organised, creative, and proactive Proposals Coordinator to support the successful preparation and submission of compelling construction tenders and marketing materials. Working closely with the Preconstruction Bid Manager, Business Development Manager, and wider delivery teams, this role plays a vital part in connecting preconstruction activity with strategic marketing and business development objectives.

The ideal candidate will thrive in a fast-paced, deadline-driven environment, with strong coordination and communication skills, a keen eye for design, and the ability to gather and present information in a clear, engaging way.

Key Responsibilities

Tender & Bid Coordination

* Support the Preconstruction team in the preparation and submission of PQQs, SQs, ITTs, and interview materials.

* Assist with drafting, formatting, and proofreading of standard response templates and bespoke written answers aligned with company branding and style guide.

* Liaise with internal teams (site, commercial, design) to gather technical content, case studies, CVs, and other supporting documents.

* Maintain and update a library of bid content, images, and boilerplate responses.

Content & Case Study Development

* Coordinate collection of up-to-date project photography, staff information (CVs), and on-site progress updates.

* Collaborate with site teams to build project case studies that reflect quality, innovation, and client outcomes.

* Support the marketing strategy with content for social media platforms (LinkedIn, Twitter, etc.), aligning with brand tone and business milestones.

Coordination & Administration

* Support the Business Development Manager and Bid Manager to maintain the pipeline and opportunity tracker.

* Support the administration of the tender process, including tender tracking, portal monitoring, document downloading, scheduling, and compliance checking.

* Create visually engaging interview presentation templates and submission layouts using InDesign, PowerPoint, or similar tools.

* Undertake ad hoc tasks to support the wider Preconstruction and BD teams, such as event support, team updates, or internal comms.

Essential Skills & Attributes

* Excellent organisational skills and ability to multi-task across multiple live bids.

* Strong written English and attention to detail.

* A creative flair with experience using Adobe Creative Suite (InDesign, Illustrator, Photoshop) and PowerPoint for presentation formatting.

* Understanding of marketing principles and brand consistency.

* Proactive, adaptable and collaborative team player.

* Ability to liaise confidently across multiple departments and levels of seniority.

* Comfortable working under pressure and to tight deadlines.

* Experienced in using Microsoft suite (Word, Excel, Teams etc.)

Desirable Experience

* Previous experience in a construction, architecture, or engineering environment.

* Knowledge of tender portals and document control systems

* Basic understanding of construction project stages and terminology.

* Familiarity with CRM or pipeline tracking systems (e.g. MS Teams, MS Excel)
