Technical Fleet Administrator

We are seeking a Technical Fleet Administrator to join our team on a temporary basis, with the potential for longer-term engagement. This role is ideal for candidates with experience in the motor industry, particularly those familiar with vehicle compliance and fleet management. The position requires a commitment of 21 hours per week, with flexible scheduling available to accommodate the right candidate, including school hours.
Day-to-day of the role:
- Act as the first point of contact for both internal and external customers of the fleet vehicle workshop, handling inquiries and complaints efficiently and professionally.
- Support the workshop management team in processing and resolving customer queries.
- Assist in the maintenance and operation of the vehicle management system, ensuring all records are accurate and up-to-date.
- Process invoices for goods and services, manage worksheets, and handle invoicing and discrepancies.
- Communicate maintenance schedules to clients and assist with rescheduling appointments as needed.
- Record and understand performance information related to operational equipment and health & safety standards.
- Support the vehicle insurance claims process by providing necessary documentation.
- Assist in preparing for fleet meetings, including taking and distributing minutes and notes.
Required Skills & Qualifications:
- Experience in workshop or construction administration.
- Proficient in Microsoft Office applications, especially Outlook, Word, and Excel.
- GCSEs Grades A-C or equivalent in English and Maths; NVQ Level 2.
- NVQ Level 3 or BTEC ONC/Diploma in a technical or administrative field is preferred.
- Excellent organisational skills with the ability to prioritise tasks.
- Experience with Oracle financial systems is advantageous.
- Strong communication skills, capable of dealing with internal and external stakeholders.
- Proactive, flexible, and willing to undertake a variety of tasks.
