About the Role:
We are seeking a highly organised, experienced, and committed Senior School Administrator to join a dedicated team at a thriving Alternative Provision (AP) school in Hillingdon. This full-time position is offered on a temporary to permanent basis, starting in September 2025.
This is a pivotal role within the school, offering an excellent opportunity to work in a fast-paced and rewarding environment supporting young people who face a range of barriers to mainstream education. The successful candidate will play a key role in ensuring the smooth and efficient operation of the school’s administrative functions, with a strong focus on data management, compliance, and supporting senior leadership.
Key Responsibilities:

Oversee the daily running of the school office and act as the first point of contact for staff, students, parents, and external agencies.

Ensure the efficient and accurate maintenance of student records using SIMS and Arbor, including admissions, attendance, behaviour, safeguarding, and academic data.

Manage and update school systems, databases, and registers to support statutory returns and internal reporting.

Provide high-level administrative support to the Headteacher, SLT, and other staff as required.

Support the coordination and management of staff rotas, meetings, diaries, and school events.

Assist with HR-related processes including safer recruitment checks, staff absence tracking, and maintaining personnel files.

Oversee general office duties including email correspondence, filing, minute-taking, stationery orders, and reception cover.

Ensure compliance with school policies and procedures, particularly with regard to data protection (GDPR) and safeguarding.

Contribute to a positive and supportive environment for all students and staff, with a clear understanding of the challenges and rewards of working in an alternative provision setting.
Essential Requirements:

Proven experience as a School Administrator, ideally in a senior or leadership capacity.

Proficient in the use of SIMS and Arbor school management systems.

Strong knowledge of school administrative processes, including statutory reporting and safeguarding protocols.

Excellent written and verbal communication skills, with a professional and approachable manner.

Ability to work independently and as part of a team, managing multiple priorities under pressure.

Strong organisational, time management, and problem-solving skills.

High level of discretion and confidentiality, particularly when handling sensitive information.

Demonstrable experience working within a school or educational setting, preferably in an Alternative Provision or with vulnerable learners.

A clear understanding of safeguarding and child protection responsibilities in an educational context.
Desirable Qualifications:

Level 3 or above qualification in Business Administration, Education, or a related field.

Training in data protection/GDPR compliance.

First Aid and/or Mental Health First Aid certification.
