medneo is an established, innovative German diagnostic imaging company with services across Germany and also in Zurich. medneo's services are tailored to deliver very efficient, high quality imaging services for patients and referrers. medneo UK operates a growing fleet of mobile MRI units delivering services across the country, predominantly at NHS hospitals. medneo UK will be opening its flagship Imaging centre in central London in January 2020. Reporting to medneo’s Office Manager the Commercial Assistant will support the management and operations team in all related business matters. The person we are looking for will be highly organised with a great eye for detail. Duties & Responsibilities Finance Processing and credit control of patient and customer invoices Prepare finance reports and account reconciliation reports according to company policies on periodic basis Prepare the monthly payroll by providing relevant employee information ( leaves of absence, sick days, work schedules and private mileage deductions) Process payment of employees monthly contributions to the pension scheme Administer payment of supplier invoices Support of the UK management team with the collation and reporting of KPIs and operating metrics HR Administer the process for new employees and workers, for example; prepare contracts, offer letters and process all pre-employment checks Ensure the HR Database accurately reflects current staff conditions and details. This includes inputting starters and leavers, contractual amendments, change of details, annual leave and recording of sicknesses and other leave. Ensure all associated payroll and pension paperwork, including new start and leaver records are processed, submitted and stored appropriately Answer employees queries about HR-related issues Organise resources for new employees that will include IT, email access, uniforms and fuel cards as appropriate. Guidance of international employees through the necessary steps of relocation and visa procedures Administration Maintenance of continuous improvement of administrative processes, delivering solutions that support business objectives as well as streamlining the business Monitoring of queries to ensure timely resolution as well as partner with our HR Business Partners and Office Management from our German office to deliver an excellent employee and customer experience Creation and maintenance of strong relationships with key stakeholders (such as People Managers, Legal and Finance internally and payroll provider and competent authorities externally) Answering the telephone, greeting visitors, handling deliveries, and occasionally making tea/coffee for visitors, as well as other general office duties Maintain stock levels and place orders for office supplies as required Ordering of clinical supplies for the centre and mobile units Adhere to the ISO 9001:2015 standard and understand the Quality Policy and support the company in its strive to deliver Quality Management System.
