Job Title: Executive Secretary
Reports To: Forbes Durdin
FLSA Status: Non-Exempt
Provides high-level administrative services to executive personnel.
ESSENTIAL DUTIES include the following. Other duties may be assigned.
Performs administrative functions for the dealer.
Maintains confidentiality of business conversations, correspondence, reports, and records as appropriate.
Assists visitors and callers when possible.
Answers telephones and takes messages for executive personnel as assigned.
Makes travel arrangements for executive personnel and maintains record of their itineraries.
Handles tasks that need immediate attention in the absence of executive personnel.
Prepares or directs preparation of correspondence, dealership-wide memorandums, forms, vendor reports, and other documents as assigned.
Makes arrangements for executive/board of director meetings and acts as custodian of corporate documents and records, directing preparation and filing of corporate records such as notices, meeting agendas, minutes, and resolutions.
Sorts, opens, and routes incoming mail and prepares outgoing mail for delivery to the post office.
Operates and arranges for the maintenance of office equipment such as fax machines, typewriters, computers, and copiers.
Maintains professional appearance and neat work area.

EDUCATION and/or EXPERIENCE
Associate's degree (A. A.) or equivalent from two-year college or technical school; or six months to one year related experience and/or training; or equivalent combination of education and experience.
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
