This 

This Administrative Assistant is responsible for assisting the office manager in managing the activities of the office, communicating regularly with corporate administrative and accounting staff and assisting with other projects that impact the business.

 

Job Accountabilities:

·         Answer phones, routing calls and greet customers

·         Review and enter Daily Field Reports (DFRs)

·         Input timesheets and associated customer billing

·         Review, edit and prepare job packets for submittal

·         Work with corporate accounting personnel to complete customer billing

·         Maintain and create spreadsheets, as required

·         Call in and maintain locate tickets

·         Plan and coordinate onsite and offsite meetings and other events

·         Prepare both internal and external correspondence

·         Maintain team shared sites and ensure documents are current and updated

·         Maintain and manage business calendars

·         Work independently on special projects with high level of autonomy

·         Secure business travel arrangements in accordance with company policies

·         Order and maintain office supplies according to office needs and in compliance with company purchasing policies/procedures

·         Maintain team contact and distribution lists

·         Handle proprietary and confidential information as requested

·         Other business administrative tasks and project, as necessary and assigned

 

Qualifications:

·         Minimum five years of experience as a general Administrative Assistant

·         Experience in an accounting environment (A/R or A/P) is strongly desired

·         High School Diploma required, additional education a plus and can be substituted for experience

·         High proficiency using the Microsoft Office suite (Word, Outlook, Excel and PowerPoint)

·         Must be proficient with MS Excel - intermediate to advanced skills preferred

·         Ability to work both independently, as well as within a team environment

·         Ability to work well under pressure and in high demand environments

·         Excellent written and oral communication skills

·         Office management and project planning skills

·          Strong attention to detail

·         Outstanding organizational skills
