We are seeking a Hire Desk Manager to oversee the full lifecycle of hiring out plant, machinery, and tools to customers in the plant rental industry. This role combines operational coordination, customer service, and commercial responsibility, making it ideal for someone who excels in managing complex processes and driving business growth.

Day-to-day of the role:

  • Oversee the full plant hire process: Ensure equipment such as excavators, dumpers, and rollers are scheduled, delivered, collected, and returned efficiently.
  • Manage customer enquiries & contracts: Handle enquiries via phone, email, and face-to-face, provide quotations, set up hire contracts, and offer accurate information on availability, pricing, delivery times, and terms.
  • Lead and support hire desk staff: Supervise and develop Hire Controllers, ensuring the team meets performance targets and delivers excellent customer service.
  • Coordinate equipment logistics: Liaise with transport teams and workshops to arrange deliveries, collections, servicing, and readiness of equipment.
  • Ensure accurate documentation & system management: Oversee the accuracy of hire paperwork, purchase orders, stock transfers, and asset records.
  • Drive commercial performance: Aim to maximise revenue, reduce complaints, improve efficiencies, and meet key performance indicators.
  • Build strong customer & supplier relationships: Act as a key contact for clients, resolve issues quickly, and maintain close relationships with regular customers.

Additional Duties May Include:

  • Monitoring daily hire reports and fleet availability.
  • Upselling consumables or additional equipment.
  • Supporting compliance with health & safety processes.
  • Working with other depots to optimise fleet utilisation.
  • Handling complaints and resolving disputes efficiently.

Required Skills & Qualifications:

  • Proven experience in the plant rental industry or a similar managerial role.
  • Strong leadership and team management skills.
  • Excellent customer service and relationship-building skills.
  • Ability to manage multiple tasks and remain organised in a fast-paced environment.
  • Strong problem-solving skills and the ability to handle disputes and emergencies.
  • Proficiency in relevant software and systems for inventory and hire management.
