Role Overview - What is it?
We are expanding at pace, simultaneously designing, mobilising and operating a range of new Supported Housing services, all of which against the backdrop of new legislation (eg SHRoA and TSMs) and alongside existing TA and MOJ service delivery and expansion.
We are seeking an experienced Housing Systems Lead, with extensive and demonstratable experience of the OmniLedger (Pyramid) system, to support and accelerate that expansion.
The successful candidate will have a detailed understanding and proven abilities in the configuration, development and optimisation of all OmniLedger (Pyramid) modules, including Tenant, Client, Maintenance, Compliance, Safeguarding/Complaints, Reporting and Finance functionality; including their integration and interface with the True Context digital-forms platform.
They will have a natural ability to understand and translate operational challenges into system solutions, creating efficiency and adding value through continuous improvement.
They will have excellent communication and interpersonal skills, engaging with and educating non-system colleagues across the business; ensuring they have the skills, knowledge and confidence they need to make OmniLedger (Pyramid) a key part of their day to day role. They will be proficient and skilled in the creation of highly effective training materials, adapting messaging to individual needs.
They will be the OmniLedger (Pyramid) and True Context subject matter expert (SME), providing comprehensive support to all system users across the business. Also being the single point of contact for system development, liaising with departmental leads on an ongoing basis to coordinate system development and optimisation; avoiding duplication, enhancing interdepartmental working etc.
As the SME, the successful candidate will be the key liaison with the external OmniLedger system owners and developers. Translating operational development requirements into system language, to ensure business expectations and are fully achieved.
Main Duties - What needs to be done?
- Lead on the business wide configuration, development and optimisation of the OmniLedger (Pyramid) and True Context systems; engaging across all departments to identify opportunities for system solutions, avoid duplication and maximise interdepartmental efficiency.
- Engage continuously with departmental leads from across the business to understand operational challenges, translating those real-world issues into innovative system-led solutions; creating and embed the agreed OmniLedger (Pyramid) to assure added-value.
- Administer the Pyramid Housing Management System, including the setup and management of user accounts, access controls, and the generation of operational and system / use performance reports; identifying areas of underutilisation or gaps in system knowledge.
- Project manage and personally implement a range of complex OmniLedger (Pyramid) and True Context system projects, liaising with departmental leads from across the business to ensure end solutions meet / exceed business expectations.
- Work closely with in-house data analysts to maximise the amount, accuracy and value of business insight and management information generated by the system; liaising with service department leads to support streamlined generation of contract monitoring reports.
- Maintain a constant view across the sector to identify further opportunities for significant system development and enhancement, liaising with department leads to test concepts prior to the preparation / submission of ExCo recommendations.
- Consistently and continually seek out opportunities to gain competitive advantage through further and increased use OmniLedger (Pyramid) and True Context systems, developing and delivering a range of training and education materials / sessions to colleagues across the business.
- Main point of contact for external OmniLedger system owners and developers, ensuring appropriate prioritisation and completion of system development projects; liaising across the business as necessary to support long term objectives.
- Oversee the overall functionality, security, and integration of the OmniLedger (Pyramid) and True Context systems, ensuring it is regularly updated, properly maintained, and access is appropriately restricted in line with internal policies and compliance standards.
- Ensure the integrity, accuracy, and availability of housing-related data by implementing and maintaining robust data security protocols and ensuring compliance with data protection regulations (e.g., GDPR).
- Lead and manage system-related projects, including application development and database management. This involves establishing protocols and procedures, identifying and mitigating risks, and managing the full application lifecycle while providing ongoing technical support.
- Proactively monitor system performance and reliability, troubleshooting issues promptly to minimise downtime and service disruptions; providing technical / user support to colleagues from across the business, ensuring skills / knowledge and confidence for all users.
- Collaborate closely with the wider business to support the planning and delivery of organisation-wide digital initiatives, including system upgrades, integrations, and new service implementations with minimal operational disruption.
- Manage and implement annual / cyclical system processes (eg rent increases), working closely with departmental leads to ensure resident communications and legislative aspects are fully adhered to as necessary.

- In-depth knowledge of the regulatory environment within the social housing sector, including experience operating under the standards set by the Regulator of Social Housing and a solid understanding of relevant legislation (eg Housing Benefit / Council Tax) and best practice.
- Strong project management skills, with proven ability to prioritise tasks, plan effectively, develop project roadmaps, and drive actions through to successful completion; working collaboratively with a range of internal / external stakeholders.
- Excellent interpersonal and customer service skills, with the ability to build effective working relationships across a variety of teams and business functions.
- Demonstrated ability to train, support, and upskill colleagues on IT systems and software tools in a clear and approachable manner with the ability to translate technical concepts for non-technical users.
- Strong stakeholder management and problem-solving abilities, with a proactive and solutions-focused mindset.
- High level of initiative and adaptability, capable of working effectively in environments with ambiguity or evolving business requirements.
