My client is seeking a dedicated Client Services Administrator to join their team, reporting to the Regional Client Delivery Manager. This role is crucial in supporting Advisers and Client Relationship Managers by managing client portfolios and ensuring exceptional client outcomes. As the first point of contact for incoming calls and client interactions within the office, the Client Services Administrator plays a pivotal role in maintaining high levels of client satisfaction and service.

Day-to-day of the role:
  • Prepare and process new client documentation, including collecting required identification and financial documentation for Anti-Money Laundering (AML) and Know Your Customer (KYC) purposes.
  • Maintain up-to-date, complete, and compliant client files.
  • Handle client queries via phone, email, or in person, ensuring they are addressed or escalated appropriately.
  • Schedule client meetings and manage the Adviser’s diary.
  • Maintain and update client records in the firm's CRM system, ensuring data accuracy and regular database housekeeping.
  • Manage ongoing tasks, meet deadlines, and escalate urgent matters as necessary.
  • Draft and send client correspondence, such as policy summaries and routine follow-up letters.
  • Assist with general office duties, ensure the office environment is tidy and welcoming, and support the coordination of training sessions and events.
  • Support advisers in preparing client review packs and financial planning documents for annual reviews.
  • Assist in processing new business applications and transactions, and manage policy changes and updates for existing clients.
