Job Overview:

We are seeking a proactive and detail-oriented IFA Administrator to join our team in Fareham. The successful candidate will provide comprehensive administrative and operational support to our Financial Advisers, ensuring that client interactions, documentation, and processes are managed efficiently and in line with regulatory standards. This role is essential in maintaining high-quality client service and supporting the smooth running of the office.

Key Responsibilities:

  • Professionally manage incoming telephone calls from clients, third-party providers, and other stakeholders, ensuring queries are dealt with promptly and accurately.
  • Receive, log, and scan post and other documentation into the in-house system, ensuring accurate record keeping and compliance with regulatory requirements.
  • Welcome clients to the office, providing a friendly and professional first point of contact.
  • Undertake client valuations and fund performance research using both in-house systems and external platforms, ensuring reports and updates are accurate and timely.
  • Liaise with providers via telephone or correspondence regarding new and existing client business, including policy updates, transfers, and queries.
  • Process new business applications, whether online or via post, ensuring all documentation is accurate, complete, and submitted within required timescales.
  • Manage amendments to existing plans, including fund switches, contributions adjustments, withdrawals, and other transactional requests.
  • Handle letters of authority and gather all necessary information to ensure smooth administration of client plans.
  • Maintain and scan client files, ensuring all documentation is up to date and stored securely within the in-house database.
  • Produce general correspondence to clients, advisers, and providers as required, maintaining professional standards at all times.
  • Support the Director and Office Manager with ad-hoc administrative tasks and projects, demonstrating flexibility and initiative.

Skills and Competencies Required:

  • Strong organisational skills with the ability to manage multiple tasks and prioritise workload effectively.
  • Excellent attention to detail, ensuring accuracy in all administrative processes and client documentation.
  • Strong verbal and written communication skills, capable of liaising with clients, advisers, and providers in a professional manner.
  • Proficiency in Microsoft Office applications, including Word, Excel, and Outlook.
  • Ability to work independently while contributing positively as part of a small, close-knit team.
  • Basic understanding of financial services products and terminology is desirable.
  • Previous experience working in an IFA, wealth management, or similar environment is advantageous.
  • Familiarity with Enable or similar systems is beneficial but not essential; full training will be provided.
  • A proactive approach, demonstrating reliability, professionalism, and a willingness to take on additional responsibilities.
