Job Role
We are seeking a proactive and customer-focused Lettings Negotiator to join our team. Your responsibilities will include:
Administrative Duties:
- Maintain accurate and up-to-date records within our internal systems.
- Process paperwork efficiently and professionally.
- Respond to phone and online enquiries in a timely and courteous manner.
Property Management & Lettings:
- Organise and conduct property viewings in line with company standards.
- Manage application forms, including obtaining references and ensuring compliance with company policies.
- Negotiate tenancy terms with landlords for new leases and renewals.
- Issue work orders, obtain quotes from contractors, and monitor property maintenance issues.
- Coordinate with contractors, landlords, and tenants to ensure timely maintenance responses.
- Conduct regular property inspections, report findings to landlords, and address issues proactively.
Financial & Compliance Responsibilities:
- Conduct market appraisals for lettings and advise clients accordingly.
- Prepare and manage budgets, collect service charges, and provide financial reports.
- Organise reactive and planned maintenance, supervise contractors, and maintain communal areas.
- Oversee compliance, health & safety, risk assessments, fire safety inspections, and asbestos reports.
- Serve as primary contact for leaseholder inquiries, complaints, and communication.
- Arrange and manage building insurance policies, handle claims, and ensure adequate coverage.
Key Skills & Attributes
- Exceptional organisational and prioritisation skills
- Excellent written and verbal communication skills
- Strong team player with a proactive attitude
- Outstanding customer service experience
- IT literate (MS Office, email systems, internet)
- Ability to build and maintain strong internal and external relationships
- Previous experience in a negotiator role is desirable but not essential
- Awareness of equality and diversity principles
- Flexible, enthusiastic, and open to change and new ideas
- Willingness to take responsibility and work using own initiative
- ARLA qualification preferred but not essential
- Full UK driving licence with access to own vehicle
- ALTO software training preferred
