Our Office Manager is responsible for the organization and coordination of office operations, procedures and resources to facilitate organizational effectiveness and efficiency. The Office Manager is pivotal in ensuring that the overall business operations of the medical office run smoothly and professionally. Ensures the smooth functioning of the office by providing general supervision, leadership, mentoring of the staff in all business aspects of the practice. Effectively implements changes that are given by Partners and company leadership.
Education: Two years of college course work in business, accounting, or a medically related field. A bachelor's degree; an advanced degree or professional certification preferred, or the equivalent combination of education and experience. Certified Medical Manager (CMM) or Certified Medical Practice Executive (CMPE) preferred.
Experience: Requires at least 2-3 years of medical office management experience in a fast paced environment. Must exercise good judgment and maintain confidentiality in maintaining critical and sensitive information, records, and reports.
Knowledge, Skills, and Abilities
Assist Human Resources in the hiring and training of medical assistants, front office, and other necessary positions.
Train, monitor, and evaluate staff performance.
Responsible for scheduling, altering, and ensuring proper staffing of providers and staff to meet operational requirements.
Oversee and approve PTO, Vacation, and Payroll.
Comply with all company policies and procedures.
Ensure compliance and renewal of all state and federal regulations including, but not limited to HIPAA, OSHA, CLIA, etc.
Manage insurance contracts and work closely with billing company to ensure compliance with contracts.
Responsible for facility cleaning, hygiene, safety and maintenance coordination of office.
Ensure the proper removal of medical waste in compliance with regulatory requirements.
Ensure compliance with current healthcare regulations, medical laws and ethics
Keep track of equipment and devices to ensure readiness and working properly.
Properly manage inventory and supplies
Liaise and assist with coordination of vendors regarding inventory, equipment, supplies, and maintenance.
Ensure patient records are current and accurate and that team is entering information properly into EMR system.
Communicate and ensure efficient and proper patient scheduling.
Provide customer service by speaking and rectifying patient inquiries, complaints, and concerns when applicable.
Communicate and assist in resolving deficiencies, medical coding, medical billing and banking to ensure proper processing.
Provide education material to patients.
Build referral relationships with other practices in our community to promote our services
Coordinate strategic marketing initiatives to build patient numbers and revenue for our practice.
Complete competency reports and spreadsheets for EMR, financial, and business operational needs.
Ensure daily submittal of all accounting needs.
Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit.
While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel; reach with hands and arms; and talk or hear. The employee is occasionally required to stand and walk. The employee must frequently lift and/or move up to 10 pounds. Specific vision abilities required by this job include close vision, distance vision, depth perception, and ability to adjust focus.
