Master Data Associate Lead

Job Description


Acts as a “player - coach” within Master Data. Receives and processes new account requests, existing account requests/issues, other Master Data related projects, and helps other team members to resolve any questions/issues the branches may have regarding data integrity/governance.


Key Job Activities:


Master Data Associate:

·         Responsible for the timely entry and upload of new locations on a daily basis in SAP

·         Identify duplicate locations and liaise with the field to clarify accuracy

·         Responsible for ensuring CSA completion to company standards to permit effective client set up and minimize master data issues leading to residual invoice / service issues

·         Liaise directly with District Sales Managers to clarify and ensure data accuracy and ensure company standard maintenance

·         Form an effective communication structure and liaise directly with branch operational / administrative personnel in terms of routing input and welcome letter generation

·         Periodic auditing to ensure master data integrity

·         Liaise with other Support Centre departments to maintain centralized data elements

·         Run the “invoices not on invoice list” report and correct as necessary

·         Other duties as required


Team Lead

·         Work with Management to help identify team knowledge or skill set gaps and help in the development of effective training programs for each Master Data Associate team member

·         Coach and train team members on Master Data processes and protocols

·         Track daily metrics and look for areas of improvement to ensure SLAs and other metrics are adhered to

·         Will act as a role model and help guide and inspire other team members to strive for “Best in Class” customer service levels

·         Proactive in finding new methods or procedures to improve existing master data functions

·         Assist in the development of “Process Documentation” and act as a Subject Matter Expert for key master data functions and processes

·         In coordination with the Master Data be a liaison or point person between Master Data Associates and other business functions (IT, Billing, National Accounts, Accounts Receivable, etc.) for issue resolution

·         If required, project manage issues through to effective resolution

·         Other duties as required



Must have university / college education or equivalent experience



Minimum one (1) - three (3) years in a customer service business-to-business capacity


·         Skills and Knowledge

·         Proficient in MS Office products and expert in use of MS Excel

·         SAP experience is a must

·         Able to read, analyze and interpret client contracts and other documents related to contract administration

·         Excellent business communication and interpersonal skills are required

·         Excellent collaboration skills are required

·         Maintain a high level of professionalism while working with other areas of the business

·         Must be accountable and be able to work with minimal supervision

·         Excellent customer service skills

·         Must have the ability to effectively transfer knowledge or teach other team members in a collaborative environment

Additional specifics about job requirements, project, etc.:

·         Own the Vendor Master Data process for all entities

·         Creating new accounts payable vendors including: creating vendor, adding remit to info, tax reporting information, banking information, contact information, TIN verification etc.

·         Reaching out to internal and external vendors to get W-9/W8Ben Forms and other pertinent data

·         IRS 1099 annual reporting and validating integrity of data

·         Assist with special AP project

·         Deliver the reports, analysis and audits

·         Own the vendor deactivation process maintaining only active vendors

·         Develop metrics (KPI) to improve the quality, completeness and accuracy of the Vendor Data

·         Routinely audit data providing root cause analysis and corrective action solutions

·         Leads process standardization, data governance, cleansing activities, maintenance and data quality improvement efforts in alignment with data strategy goals
