Job Description

Associate Project Manager

The Position

Working in the Project Management Department under close supervision to support planning and direction setting for multiple concurrent projects of varying size, including small and medium complexity, scale projects. This position is also responsible for providing administrative and analytical support to all projects in concert with the respective Project Managers to provide timely solutions within the Project Management Service Delivery Lifecycle framework. This is in line with the delivery of the companies service commitments on schedule and within budget using internal and external resources and following the company standard policies and procedures. We are looking for candidates that are interested in project management concepts and wish to get exposure to these in a real working environment.

The following section details the primary responsibilities and duties of the role. This is not considered a comprehensive list of job responsibilities. These are essential duties the Associate Project Manager is expected to perform in the normal course of work. Non-essential responsibilities, those considered peripheral, incidental or a minimal part of the job, are not specified in this section.

  • Ownership for projects with PM oversight to ensure they are being managed through standard methodology, templates to deliver stated outcomes
  • Conduct internal and external communication with stakeholders with appropriate review and oversight
  • Responsible for Invoice and Billing validation
  • Responsible for executing disconnects and follow through for billing and communications
  • Obtain and provide expert analysis of carrier quotes, make recommendations and deliver within requested timeline
  • Manage circuit and cross-connect orders and delivery within defined timelines and work with project manager to ensure the companies due date is being met consistently
  • Conduct/Support project delivery, tracking and status reporting
  • Conduct/Support circuit tracking, cross-connect orders, draft LOA, carrier calls, updates and reporting
  • For projects being supported, proactively assess and identify risk/issues before they occur, provide recommendations for mitigation/resolution including escalations to PM or Higher to ensure the project is performing within baseline expectations
  • Support the implementation of processes and provide documentation, training and follow through communications for new processes and existing process updates
  • Monitor ongoing adherence to processes and recommend corrective actions
  • Provide facilitation and support of the RFP process for the segment and/or project as required
  • Provide tight coordination of the RFP process to operate within stated timelines for RFP deadlines and interim milestones, with oversight
  • Facilitate all required calls - carrier, vendor, associate/stakeholder status calls
  • Provide internal coordination for resource allocation
  • Provide contractual support (ex: CRF etc.) by working closely with the PM
  • Create standard, ad-hoc and special reports as requested
  • Support analysis of project schedule/performance and provide recommendations for corrective actions to PMs
  • Create presentations working closely with the PMO Associate Director and PMs
  • Conduct effective and timely communications both internally and externally to exemplify PMO service levels
  • Consistently operate and display behaviors within PMO team norms and guiding principles with teammates, a cross-functional team, and any external communications
  • Work closely with PMO Associate Director and PMs to assist in process training for PM Trainee and PM Assistant

Knowledge, Skills, and Experience:

  • Bachelor's degree preferred; relevant work experience may be considered in place of degree
  • 2+ year work experience in project management of small/medium projects and/or carrier/circuit provisioning or relevant field
  • Relevant certification or on the path to receive that certification is preferred
  • Intermediate to advance knowledge of office productivity tools such as email, calendaring, and MS Office (or similar) applications and standard office equipment
  • Team play that will support PMO Team Operating Norms
  • Strong organizational skills with the ability to learn new concepts and think creatively
  • Highly-driven and self-motivated with the ability to manage multiple competing priorities
  • Experience in high tech environment and/or working on technical projects is preferred
  • Strong interpersonal skills and ability to work well independently and collaboratively
  • Excellent oral and written communications skills
  • Keen attention to detail, avoiding shortcuts that may adversely impact the quality of work.

  • Lifting and carrying packages of up to 20 lbs.
