Job Description

The Commercial Operations Leader is responsible for ensuring all customer orders are processed timely and accurately.  This includes, but is not limited to, in depth knowledge of all transactional requirements for all customers, entering customer sales orders, creating corresponding factory work orders, communication with all interested parties, providing status updates as needed, and ensuring all necessary documentation is provided.  The Commercial Operations Leader will work closely with Sales and Operations to be ensure customer satisfaction. In addition to day to day transactional duties, the Commercial Operations Leader will have in depth understanding of all software platforms needed to transact with customers.  This role is responsible for implementing and maintaining all processes necessary as it relates to these types of programs. 

Sales Orders – Process customer orders/revisions with full understanding of any customer specific requirements.  Ensure that order information is complete and accurate.  Notify management of any issues or concerns with orders promptly and take necessary actions.  The Commercial Operations Leader shall have a good working knowledge of our ERP(Traverse) and a full understanding of the impact of their transactions within the ERP.

Quoting Process – Review and update quoting process. Produce customer quotes in a timely manner.  Responsible for the organization and data integrity of all quotes.  Assure ERP system accurately reflects current pricing.

Systems – Possess a working knowledge of all customers’ ordering systems.  Implement any new software systems/upgrades as they occur.

Operations – Process operational orders/revisions as needed.  This includes, but is not limited to, providing advanced PO summary notices to factories, processing POs to appropriate factory, confirming ship windows, and notifying management of any issues.  The Commercial Operations Leader will provide accurate information to freight forwarders and other 3rd parties as needed. In addition, this role will have overall ownership of component inventory management.

Reporting – Assist management with sales and operational reporting as needed.  The Commercial Operations Leader is expected to have up to date information regarding orders at all times.

Process Improvement – The Commercial Operations Leader will assist in documenting all current processes.  This role will also be a key contributor of ideas for process improvements.   As processes are changed the Commercial Operations Leader will assist in testing and validating these changes.

Data Integrity - The Commercial Operations Leader is responsible for ensuring all data is accurate, including item costs, selling prices, quantities, ship dates, etc.  This includes both purchase cost and selling price in our ERP System(Traverse).  He/she will also ensure all overseas

Government and Customer Compliance -Make sure that we continue to do all things necessary to maintain our CTPAT certification from US Customs. Keep abreast on any major changes in government regulations (foam flammability, chemical additives prohibited in furniture, lead testing, etc.) that may impact the company and make sure we take the necessary steps to stay in compliance. Review all customer requirements for shipping and make sure we operate in compliance with those requirements.
