Summary: The Construction Project Coordinator works in partnership with the Project Management team to provide support on the day to day processes related to managing company projects. The Construction Project Coordinator works under direct supervision only as needed and participates in a variety of project management activities, to include managing subcontracts, submittals, change orders, production tracking, etc.

Primary Responsibilities/Essential Functions:

  • Draft pre-construction documents, including subcontracts, submittals, job information sheets, material sourcing sheet, key personnel letter(s), plans, addenda, specifications, and schedules for Project Manager review
  • Set up and maintain project job files
  • Enter production quantities, prepare monthly pay estimates for PM review, and submit pay estimates to project owner
  • Assist with change management through creation and tracking of change requests
  • Solicit subcontractor and supplier quotes as necessary
  • Track subcontractor invoices and payments
  • Assist with the execution and submission of monthly project schedule updates
  • Correspond with owners and design consultants as needed
  • Create, compile, and file production sheets for use by foreman group
  • Prepare project and company meeting documents
  • Prepare schedule and meetings notes from the weekly Project Scheduling meeting
  • Provide assistance with special projects for Project Managers
  • Provide overall support to operations personnel, including Project Managers and Superintendents
  • Manage daily orders from the field for concrete, base, asphalt and all other materials with Project Managers/Superintendents/Foremen
  • Serves as primary contact with outside vendors regarding material orders, to include scheduling and delivery to ensure the correct products and quantities are delivered in a timely manner to project sites
  • Issue purchase orders with proper job cost codes/pay items to vendors when ordering materials needed for all job sites as requested by the Foremen, Superintendents, and Project Managers
  • Ensure all delivery tickets have pay items coded before forwarding to accounting
  • Request, track, and ensure compliance of all Dig-Tess locate tickets on assigned projects
  • Perform other duties as assigned

Skills/Qualifications:

  • College Degree preferred, High school diploma or equivalent certification required.
  • Two to five years experience in the construction industry
  • Valid Texas Driver’s License required
  • Bilingual preferred (Spanish)
  • Advanced knowledge of the Microsoft Office suite
  • Demonstrates effective written and oral communication skills.
  • Demonstrates analytical skills in areas of moderate complexity
  • Demonstrates ability to read and comprehend simple instructions and correspondence.
  • Demonstrates the ability to effectively present in small group presentations with customers, clients and employees
  • Demonstrates the ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions and decimals

Physical Requirements:

The Construction Project Coordinator while performing the essential functions of this job is regularly required to stand, walk, use hands to finger, handle, or feel objects, reach with hands and arms, lift above their head, and talk or hear. The Construction Project Coordinator is occasionally required to kneel, crouch or stoop, climb ladders, bend at the waist, squat and crawl in tight or confined spaces to perform the essential functions of the job. The Construction Project Coordinator will occasionally lift, move or push up to 50 pounds. Specific vision abilities required by this job include close vision and color vision. Ascending or descending stairs is required, and movement of uneven terrain is frequently required to carry out essential duties. Driving of a vehicle is required.

The Construction Project Coordinator will spend time both on the physical jobsite and in the office. This position is exposed to high temperatures, cool/cold temperatures and loud noises. Work in the construction area poses significantly greater risk due to moving construction equipment and active construction zones with trip and fall hazards. The office environment is a low to medium risk area. Computers and phones are constantly in use.
