Shipping and General Office Administrator

Rugby

Up to £30,000 DOE

This is a FTC 12 months contract, full on site, with the potential of going into a permanent position.

We are seeking a proactive and detail-oriented Shipping and General Office Administrator to join our team for an interim maternity cover position. This position is for a reputable client of ours based in Rugby. In this role, you will play a crucial part in supporting smooth operations across various business functions and ensuring the efficient flow of goods and information within the company.

Key Responsibilities:

Import & Export Administration: Coordinate the importation of components from worldwide suppliers (by air and sea), ensuring compliance with cross-border regulations.

Shipping Coordination: Organise the shipping of lasers and spare parts, ensuring timely deliveries.

Documentation Management: Maintain Export & Import Entry Declarations and trace documents where necessary.

Sales Administration: Process orders, handle credit control, and assist with customer inquiries related to sales.

Accounts Inbox Management: Oversee the accounts inbox, ensuring all emails are allocated or actioned promptly.

General Office Support: Answer phones, file documents, manage office supplies, and assist with laser manual printing.

Service Department Support: Assist with collections and shipments of customer orders, spare parts quotations, and order processing.

Skills and Competencies:

Proven experience in Export & Import activities and compliance.

Strong organisational skills with excellent attention to detail.

Ability to multitask and work effectively in a fast-paced environment.

A positive, 'can-do' attitude with the ability to work both independently and as part of a team.

Excellent communication skills, both oral and written, with the ability to liaise effectively with customers, suppliers, and team members.

Proficiency in Microsoft Excel and Word.

Experience with Sage 200 or Sage Line 50 is desirable but not essential.
