Job purpose and role:

To assist in the provision of financial analysis and support within the Operational Waste Service to achieve savings through increased operational efficiency and competitive procurement where possible, whilst maintaining awareness of the business context of Operational Waste budgetary requirements and income opportunity.

To assist in the provision of a full range of logistical support services that are essential to the day-to-day effective front line control and operation of the Service, with a particular emphasis on Performance Reporting and Customer Service Excellence to ensure contractual obligations and Service Standards are achieved.

PRINCIPAL TASKS AND RESPONSIBILITIES:

To assist managers by dealing with customer, contractors, front line staff and management enquiries to ensure the provision of an effective and efficient service.

To receive corporate complaints and enquiries, FOI requests, appropriately record and direct them for investigation within the service group, to other service groups and external agencies issuing timely reminders to ensure all complaints and enquiries are responded to within corporate timescales.

To liaise with customers to ensure the execution of corrective action in compliance with customer expectations.

Ensure contractual obligations and Service Standards are achieved.

To assist in the review/development of CRM Business Rules and Web Page content to promote awareness, understanding and celebrate success.

To assist with the keeping and production of statistical information from manual and computer based records, processing reports, statistics and other information as requested.

To assist in the provision of management reports and supporting documents when requested.

To provide office cover in the absence of managers to deal with goods delivered and employee enquiries regarding operational issues such as the issue of works clothes / tools / equipment.

To assist in the following;
Compile any requires report showing operational, quality and customer performance against set service standards and yearly targets.
Assist in all customer contractual requirements and manage accordingly
Deputise in meetings where required

To both control the debt management position to reduce risk to the council and follow debt management processes of outstanding debt resolution.

To check all purchases for the section are approved in the correct manner prior to authorisation.

To process official orders and payment of invoices, charging for works etc. including appropriate preparation, checking, verification and coding, maintaining records of expenditure and income as required.

To raise invoices in the specified timescales for all Waste Services.

To manage customer relationships.

To assist in the provision of financial administration support including budget provision and performance.

To assist in the yearly closure of accounts.

Operation of Service Group's computer systems, including word processing, PowerPoint, publisher, financial management systems and CRM as appropriate.

To ensure compliance with established or new procedures, including proper control and maintenance of all records, systems and statistics compiled or used by the Division.

To undertake appropriate training and attend courses, seminars and conferences as required.

To comply with the provisions of all Data Protection and Computer Misuse Legislation, computer software copyright legislation and the Council's Computer Security Statement.

To comply with the Council's Customer Care, Equal Opportunities, Health and Safety policies, Standing Orders and Financial Regulations and any other relevant policies of the organisation.

To carry out other duties and responsibilities, commensurate with the grade of the post subject to any reasonable adjustments under the Disability Discrimination Act.
