Position OverviewThe Office Manager is responsible for overseeing all activities related to the smooth day-to-day running of the office location. The role encompasses a broad range of activities, ensuring the location meets required standards and conditions, is well equipped and maintained, and adheres to health and safety and compliance policies. This role is at the heart of the business and is critical to creating and maintaining a great working environment for everyone. We are looking for an organised, proactive, and detail-oriented person for our client.

Key Responsibilities

  • Be the main point of contact for duties such as office maintenance, supplies, and equipment.
  • Support the HR function with onboarding new hires and IT equipment provisions, as well as update and maintain office and health & safety policies and procedures.
  • Manage all office suppliers, ensuring they meet required standards.
  • Coordinate schedules, meetings, and appointments for leadership where required.
  • Ensure cost management of office-related spends, including contract management.
  • Manage buildings and contents insurance, work-related travel insurance.
  • Oversee facilities management, including liaising with vendors and service providers.
  • Ownership of business continuity and disaster recovery plans across all locations.
  • Coordinate health and safety-related activities, ensuring compliance with policies and procedures, including fire marshalls, fire testing, first aid, and emergency lighting.
  • Manage facilities-related activities, including defect process, relationship with facilities suppliers, and maintenance issues.
  • Manage car park and front door passes for new starters, replacements, and leavers.
  • Order and manage weekly food and drink supplies, coffee machine, and stationery.
  • Support coordination of onsite events as required.

Knowledge and Skills

  • Highly motivated and self-starting individual.
  • Must be articulate in both verbal and written communication.
  • Strong key stakeholder management.
  • Ability to multitask and prioritise effectively.
  • Strong attention to detail and problem-solving skills.
  • Proficient with MS Office suite such as Word, Excel, Outlook, PowerPoint.
  • Ability to work independently and proceed with objectives without supervision.
  • Strong interpersonal skills and a collaborative way of working.

Professional Experience

  • NEBOSH qualified. Ideally.
