Treatment coordinators play a critical role in helping patients get comfortable with the implant process, options, expected results, and financial responsibility. They must understand the patient’s options and be able to effectively communicate them to patients. Implant coordinators must also work closely with doctors to understand each patient’s specific requirements.
Educate patients on implants
Describe procedure and hardware
Prepare treatment plan based on Dr. Consultation
Determine cost to patient
Prepare implant materials for all scheduled implant procedures
Wednesday through Friday, begin preparations for the next week’s implant procedures
Confirm consents are signed and current - 30 days
Confirm prescriptions have been provided
Compare treatment plan in system to patient chart to ensure they are consistent
Confirm prosthetics & implant size; discuss with doctor as needed
Prepare/pull parts for each procedure, place in separate bag marked with patient name
Manage Implant Inventory
Count inventory regularly to ensure that the practice has an adequate quantity of all implants and related supplies in stock at all times - typically weekly
Responsible for implant related bone material in addition to implants
Monitor expiration dates for all implant supplies and bone material that has expiration date to ensure that no materials are retained after expiration date.
Prepare implant orders and present to practice manager/doctor for review and confirmation - typically weekly
Provide monthly inventory count to practice manager
Order as instructed and approved
Review, unpack, stock and update inventory records for orders as received
Referring Physician Communications
Interact with referring dentist/doctor ensure OMSH has information required
Review or prepare treatment letters to referring dentist/doctor explaining procedure
Other Practice Responsibilities: Each treatment coordinator has other practice responsibilities which are typically performed on surgery days when consultations are not required. These include:
Manage implant inventory
Assist in refunds and osteotomy billing
Schedule: Implant coordinators do not work shifts and they do not rotate schedules. Their typical hours are Monday through Thursday 8:00AM to 5:00PM and Friday 8:00AM to 2:00PM.
