Overview Description:This is a full time position thatprovides support to all of the Santa Buckley Commercial Oil Division's customer care and sales support efforts. Billing, response to billing and other customer questions, and communications with customers and potential customers are the major portions of the support to be provided. This position requires an organized, independent individual who can work well with both internal and external customers.
Expected time commitment: This is expected to be a full time position averaging about 40 hours/week
Duties and Responsibilities: Following are the major duties and responsibilities of this position.
¨ Track and enter contracts into the billing system.
¨ Answer phones and enter delivery orders into the billing system;
¨ Assist customers with any questions regarding deliveries or status of deliveries;
¨ Assist with reviewing transactions prior to billing then completion of billing all commercial customers;
¨ Perform special billing functions as assigned;
¨ Provide first response to customer billing questions and information requests;
¨ Assist the Director of Administration and sales staff as assigned with the preparation and distribution of marketing and sales materials to prospective customers, and communications to existing customers;
¨ Assist sales staff in creation and updating of pricing models and contract documents;
¨ Organize and maintain copies of all contracts, notices and tax-related records for each customer in accordance with procedures;
¨ Prepare other customer and sales related reports as requested by the Director of Administration;
¨ Provide for daily mail pick-up and distribution to the Commercial Oil Division staff, arrange for timely mailing of invoices, and special mail assistance when needed;
¨ Train back-up personnel;
¨ Perform other special projects as may be assigned from time-to-time and authorized by the Director of Administration
Education and Experience: Some college education required at a minimum, a bachelor’s degree is preferred. Prior energy industry, accounting and/or billing experience are also preferred.
Other Skills and Abilities: Must be an organized self-initiator with strong written, verbal and interpersonal communication skills. Proficiency in Microsoft Word, Excel and Access software is required and will need to be utilized on a daily basis. Some spreadsheet and database programming capability is preferred. The billing system and any industry specific knowledge must be learned from training and written documentation that will be provided.
