Job Description

Commercial Real Estate / Property Assistant

Established well run commercial real estate firm seeking a property assistant to work in a professional environment. We are relocating our main office to the Koll Center where we have recently acquired a two-story modern standalone office Building, and I am looking for someone to be a major part of our operations team. The type of professional we are looking for is hard working, intuitive and willing to take personal responsibility for multiple projects and flow them through to conclusion. We also have several fun side pet projects including an olive ranch tree farm in Glide Oregon.

Job Responsibilities:

  • Assisting with the design, coordination and management of Tenant Improvement Projects and as well as major project upgrades

  • Drafting commercial lease documents using redline in MS Word

  • Accurately prepare lease abstracts

  • Asist with financing, acquisitions, dispositions involving our commercial real estate portfolio

  • Assisting company general counsel to prepare and file legal documents.

  • Managing our CoStar and other listing accounts

  • Assisting with the management of our third party vendors

  • Asist with the Common Area and Maintenance Reconciliations (CAM Recs)

  • Assist with the HR responsibilities of the Company

  • Assists with operational responsibilities including as tenant move-ins and move-outs, account reconciliations.

  • Create and maintain various filing systems in an accurate and organized manner.

  • Assist with managing CEO and Organizational to-do lists.

  • Initiate and answer telephone calls on behalf of executives

  • Serve as gatekeeper whether in person, by phone or by e-mail

  • Collecting and Managing department financial and sales reports

  • Coordinate travel and conference call schedules

  • Prepare correspondence and manage related filing and record retention


  • Solid understanding of real estate practices and principles.

  • Proficient in working with Dropbox or MS OneDrive, Excel, Outlook, Word and Adobe Acrobat.

  • Effective oral and written communication skills.

  • Professional, organized and disciplined.

  • Ability to meet deadlines and be accountable for your responsibilities.

  • Familiar with property management software is a plus.

  • 2+ years of experience with comparable responsibilities.

  • Reliable attendance
