Live Event Coordinator

The Live Event Coordinator position supports the strategic planning, execution, and oversight of company events that are both consumer-facing as well as internal. This role is ideal for someone who has a desire to grow in the live and virtual event industry. In this role, you will have opportunities to learn directly from the founders who come out of the executive team at TED where live events are world-renown and the head of live events whose career spans from the Essence Festival to the Apollo Theater. This position will be working towards various priorities and tight deadlines within a fast-paced, production-driven environment.

Duties:

Support the Head of Live Events on various programs and events and assists in pre- and post-event logistics and planning

Support various tasks as assigned on all elements of a program including research, registration and list management, and vendor relations to include booking venues, entertainers, photographers, catering, etc.

Provide event support through on-site event attendance (if applicable), coordinator support for in-person planning meetings, and virtual event planning and development.

Maintain the company's upcoming events calendar for visibility across team members

Contribute to creative ideation around experiential activations and customer engagement.

Internal team coordination: Coordinate meetings, offsites and various internal events.

Attends, helps prepare for, and takes notes at meetings as requested.

Other tasks as required in this growing startup.

Requirements

Qualifications:

2+ years of demonstrated experience in the Live Events production industry

Great communication skills, both written and verbal, in English

Self-starter with a get it done attitude (No two days are the same)

Time management and multi-tasking skills

Fast and eager learner, with critical thinking and problem-solving skills

Experience with Microsoft Office suite and Google Docs


Helpful (mention these in your cover letter if you have them)

Experience with social media platforms such as Instagram, Clubhouse, Facebook, YouTube, etc.

Experience with structured media file management using platforms like Frame.io, Google Drive, or Dropbox.

Project management training or experience

Production management experience supporting live events, audio production or video production

This is a Full-Time position, with the intention to be New York City and office-based as soon as its safe. We offer a benefits package thats generous and competitive with larger companies.
