Chestnut Hill Farms is currently seeking an experienced Operations Coordinator to join their team of

professionals in Miami, FL.

About the role: This position will track the movement of containers from origin to our customers located primarily in USA, Europe and Asia. To manage perishable inventory and act as a liaison between the inventory system and sales representatives. Receive purchase orders, invoice orders, input credits when granted, and work with vendors.

Responsibilities and Duties

What you'll do:

  • Incoming product coordination
  • Receive farm packing list; enter into inventory monitoring system. Coordinate container movement in transit from farm to port, warehouse or customer. Conciliate packing list vs actual received; resolve any discrepancies, and enter adjustment into inventory system.
  • Coordinate with customs brokers regarding the release of any holds, and if complications arise from the inspection process, assist to ensure the best decision possible is taken considering the quality of product and cost. In event of actionable insects or seeds, communicate information to responsible party.
  • Outgoing product coordination
  • Ensure all scheduled orders are shipped to each location; ensure all scheduled orders are shipped out to ensure highest service standards are achieved.
  • Invoicing Process
  • Vendors (from port to customer-USA): Audit, approve and submit to finance invoice from customs brokers, sales brokers, warehouses, and transportation companies to minimize business risks and invoicing errors.
  • Customers: Receive warehouse confirmation and ship confirmation (passing) for all orders in the order entry system; Ensure confirmations of delivery are sent promptly by delivering party and invoice all orders upon confirmation of delivery. Once customer has been invoiced, submit invoice to all responsible parties and archive.
  • Credit processing
  • Collect problem forms, liaise with quality control and sales team, process credit issuance and update database.
  • Business Relationships
  • Manage relationship with main vendors which include, but aren't limited to warehouses, trucking companies and customs brokers. These relationships are critical to ensure our customers receive product.

Qualifications and Skills

Our ideal candidate:

Education and Experience:

  • Bachelor's degree in logistics, business, finance or related field preferred
  • (or) Minimum of two years working experience in logistics or relevant role

Abilities and Skills:

  • Must be bilingual in English and Spanish
  • Demonstrate proficiency with MS Office (Word, Excel and PowerPoint)
  • Knowledge of SAP or similar ERP desirable
  • General office skills
  • Strong organizational skills and attention to detail are necessary
  • Excellent written and verbal communication skills
  • Problem solving skills
  • Very strong work ethic and willingness to get the job done
