About the Role:
Our client is seeking a proactive and detail-oriented Support Administrator to join their growing team. This role plays a vital part in ensuring smooth operational delivery through effective scheduling, document management, and administrative support. You'll be responsible for coordinating engineers and subcontractors, managing compliance documentation, and providing support across various internal systems, with a strong focus on maintaining high standards and ensuring industry compliance.

Key Responsibilities:

Scheduling & Coordination

*

Plan and coordinate site visits for both in-house engineers and subcontractors

*

Maintain a live calendar of inspections, re-certifications, and ongoing works

Report Handling

*

Review engineer reports for completeness and accuracy

*

Convert finalised reports to PDF and archive them in the document management system

Quotation & CRM Management (D365)

*

Draft and issue service quotations via Microsoft Dynamics 365

*

Track quotation progress and follow up with clients where necessary

Documentation & Compliance

*

Organise and manage key documentation including risk assessments, method statements, and service records

*

Ensure version control is in place and all documentation is audit-ready

Subcontractor Tendering & Liaison

*

Source and assess subcontractors for relevant works

*

Issue tender packs and compile responses for management review

Engineer Scheduling & Operational Support

*

Allocate jobs based on engineer skillset, location, and availability

*

Provide logistical and administrative support to the field-based team

Test Equipment Certification

*

Monitor calibration and certification schedules for LEV test equipment

*

Arrange timely renewals to maintain compliance with industry standards

Client Communication & Call Handling

*

Handle incoming calls and emails, providing first-line customer support

*

Log service requests and escalate technical issues where required

General Administrative Support

*

Assist the wider Facilities or Health & Safety teams with ad hoc administrative tasks

*

Maintain accurate and compliant records in line with ISO and internal QA procedures

Requirements & Desirable Skills:

*

Experience using Microsoft Dynamics 365 and SharePoint

*

Highly organised with strong attention to detail

*

Comfortable working in a fast-paced, compliance-driven environment

*

Previous experience in a building services environment (desirable, not essential)
