As we continue to grow and invest in our future, we’re seeking a motivated and detail-oriented Facilities and Maintenance Coordinator to join our dynamic Facilities team. About the Role
The Facilities and Maintenance Coordinator will be the linchpin of our facilities operations — responsible for handling the day-to-day administration, coordination of maintenance activities, and support requests from across the business. You’ll help ensure our world-class manufacturing environment remains clean, safe, and operational — enabling our engineers, machinists, and support teams to perform at their best.
Day to Day
- Act as the first point of contact for all facilities and maintenance-related queries and breakdown reports, ensuring timely logging, tracking, and resolution.
- Plan, schedule, and coordinate planned preventative maintenance (PPM) activities across the site.
- Coordinate a wide range of facilities and maintenance tasks — including preventative maintenance and repairs to ad hoc service requests — working closely with internal stakeholders, in-house technicians, and trusted suppliers.
- Assist in procurement activities related to facilities and maintenance: raising purchase orders, liaising with suppliers, tracking costs, processing invoices, and maintaining up-to-date supplier records.
- Maintain accurate maintenance records, service logs, and asset registers using our Computerised Maintenance Management System (CMMS).
- Assist with spare parts and maintenance supplies, ensuring appropriate stock levels and effective cost control.
- Support compliance by maintaining documentation related to statutory checks, inspections, contractor management, and health & safety procedures (e.g. fire alarms, HVAC, electrical systems).
- Coordinate site access and permits to work for contractors, ensuring all health & safety procedures are strictly followed.
- Provide administrative support for departmental initiatives including sustainability, energy efficiency, and continuous improvement projects.
About You
We’re looking for someone with a proactive mindset, excellent communication skills, and a keen eye for organisation. You don’t need to be an expert in engineering — but you do need to love structure, thrive under pressure, and take pride in delivering great service.
Essential Skills & Experience
- Previous experience in a facilities / maintenance office coordination, office administration, or engineering support role — ideally within a manufacturing or technical environment.
- Strong organisational, administrative, and planning skills, with a methodical approach and the ability to manage multiple tasks and shifting priorities.
- Excellent written and verbal communication skills, with confidence in liaising across internal teams and external service providers.
- A proactive, problem-solving mindset with a positive, "can-do" attitude.
- Proficient in Microsoft Office, particularly Excel, Outlook, and Word.
- Familiarity with CMMS or maintenance scheduling software.
- Good understanding of maintenance processes for facilities, plant, and equipment.
Desirable Qualifications & Knowledge
- Familiarity with facilities helpdesk systems or CAFM/CMMS software.
- Understanding of health & safety or compliance requirements in a manufacturing or industrial setting.
- IOSH Managing Safely or similar certification (or willingness to work towards it).
- Technical or engineering qualification (NVQ Level 3 or equivalent preferred).
- Understanding of mechanical and electrical systems within an industrial setting.
- Experience working with machine tools, CNCs, compressors, or HVAC systems is a bonus.
