Our client designs and produces market-leading, much loved products which ae sold by leading retailers across the UK and EU. As they continue to grow, they are looking for an organised and proactive Buyers Admin Assistant with a great eye for detail to join the team. Reporting into the Design Manager, you’ll manage the full licensing approval process, ensuring all designs, packaging, and marketing materials meet brand and legal guidelines while coordinating with licensors and internal teams.This is a fantastic opportunity for someone looking to join a successful creative business, and be part of bringing exciting new product ideas to life for leading international brands & retailers.Key responsibilities include:

  • Provide end-to-end support to the Buying, Sales, and Design teams by coordinating international sourcing, supplier communication, and the timely placement and processing of purchase orders across the UK, Europe, and the Far East.

  • Build and maintain strong working relationships with suppliers and licensors, ensuring all necessary production, packaging, and compliance information is shared and actioned efficiently.

  • Manage and maintain departmental critical paths, shipping trackers, and product trackers, ensuring accurate monitoring of deliveries, customs clearance, and port-to-warehouse logistics.

  • Oversee the approval process for licensed products from concept through to production, liaising directly with global licensors (e.g., Warner Bros, Disney, Pokémon) and ensuring brand and legal compliance.

  • Submit product concepts, designs, packaging, and marketing assets for licensor approval; track submissions and provide clear feedback to internal teams to meet deadlines.

  • Check packaging artwork to ensure alignment with ingredient lists, safety data sheets, licensor brand guidelines, and legal requirements prior to production.

  • Manage and organise samples, approval documentation, proformas, and order confirmations, ensuring all records are up-to-date and easily accessible.

  • Identify and resolve potential delays in the approval or production process, proactively proposing solutions to keep projects on schedule and support continuous process improvement.

Skills & requirements:

  • Excellent organisational and administrative skills, with strong attention to detail
  • Some buying, purchasing, merchandising or supply chain experience within a wholesale environment
  • Experience working with licensed products or UK retailers within a product-based environment a benefit
  • A skilled multitasker, with the ability to manage multiple projects and deadlines simultaneously
  • Proficient in Microsoft Office inclusion Excel & Word, and with project management tools such as Monday.co, Trello, etc
  • Ability to communicate effectively with internal teams, suppliers, and licensors
