A DAY IN THE LIFE OF A SPEAKER BUREAU ADMINISTRATOR
As a Speaker Bureau Administrator, you are the face of our company and will nurture relationships with both speakers and internal stakeholders. This is a developing department within the organization. A key function of the position is to manage the day to day business, but also continue to evolve current processes that are in place and implement necessary changes when appropriate. Working in the Marketing Department and with incredibly passionate colleagues, you will manage speaker relationships, track speaker participation at ad boards, peer-to-peer programs, product theaters, video production and special company projects. You will assist in onboarding new speakers by establishing honoraria and completing contracts per current company standards.
Coordinate with Medical Affairs to ensure that new speakers are scheduled for training on relevant subject matter areas and confirm completion of training before scheduling for any engagements. Demonstrate the ability to coordinate multiple programs simultaneously and understand deadlines and hold colleagues accountable for providing necessary data. From time to time provide assistance with other department needs such as documentation for advisory board attendees (contracts, CVs, and W-9s), invitation processing (faxes and US mail) and any other activities as assigned. Your organizational and time management skills are impeccable. You will work in either the Friendswood, TX or Phoenix, AZ office but will consider a remote opportunity for the right person. QUALIFICATIONS FOR A SPEAKER BUREAU ADMINISTRATOR
- Minimum 3 - 5 years of Speakers Bureau management experience in a healthcare environment, or equivalent work within a medical department/marketing department and the ability to handle contracts.
- Bachelor's degree, or Associate degree with 4+ additional years of relevant work experience
- Strong time management skills, being able to prioritize and divide time amongst several tasks
- Possess professional phone voice, phone etiquette, and interpersonal skills
- Advanced knowledge of Microsoft applications
- Familiarity with Adobe or Foxit, DocuSign, Salesforce.com, Cvent, and email campaign tools preferred
- Ability to quickly learn new applications
- Previous demonstration of effective, solution-oriented problem-solving skills
- Accountable for deadlines with the ability to manage in stress in a professional manner
- Ability to work during occasional weekends and evenings with advanced notice
- Available via cell phone / email for after-hours support of weekday programs and weekend advisory board meetings
- Occasional (up to 5%) travel may be needed to attend programs or internal company meetings
