An exciting opportunity has arisen at Thorpe Molloy for an Administration Team Lead. Duties and responsibilities include: Responsible for providing an effective interface between the administration function and the consultancy team to ensure optimum efficiency levels achieved. Day to day supervision of team of 3 Administration Assistants with monthly performance review meetings as well as annual appraisals and PDPs. Liaising with and support Consultancy and Management Team to ensure compliance aspects of Recruitment process are efficient and accurately recorded at all times. Assisting with the recruitment process for internal roles from job description development, to placing adverts and coordinating feedback. Typing, formatting and updating CVs to fit company templates, ensuring consistency with regards to CV layout and quality. Checking job specifications from Consultants before posting / advertising jobs on company website and external job sites. Maintaining candidate profiles on the company database (Influence), updating personal details as required. Verifying Professional Qualifications with examining bodies such as CIMA, ACCA, CIPD etc. and logging details on Influence. Ensuring all ID confirming candidates’ eligibility to work in the UK is logged and expiry dates monitored. Carrying out reference checks for candidates via email and phone calls. Covering reception on a rota basis across team. Duties may include: Opening the building to the public, ensuring all rooms are tidy and organised. Welcoming candidates and clients and informing the relevant member of staff of their arrival. Instructing candidates on the completion of registration forms and other documents as required. Diary and room management. Distributing incoming mail to the appropriate person / department. Signing all guests into and out of the building, keeping note of who is in the building in case of emergency. Ensuring all visitors have left the building before locking the main entrance at the end of the day. Any other ad hoc duties as requested by Consultancy / Management Team. Personal attributes required: Excellent interpersonal and communication (written and verbal) skills. Engaging telephone manner. Excellent administrative skills (to include Word, Excel and PowerPoint) with acute attention to detail. Respectful and professional. Tenacious, resilient, flexible, organised and friendly. Demonstrate a desire to learn from others and develop your skills. Positive mental attitude and a great sense of humour. Maintain a high standard in respect to work ethic, personal appearance and job performance. An Administration qualification is preferred but not essential.
