Estates Administrator

We are seeking an Estates Administrator to join my client's dynamic team in Birmingham. This role involves providing efficient and effective administrative support within the Occupier Services department, ensuring smooth operations across a mixed property portfolio. The successful candidate will report to two Surveyors and an Account Director, playing a crucial role in coordinating property management tasks and client communications.

Day-to-day of the role:
  • Coordinate monthly and quarterly meetings and updates.
  • Assist in the preparation of monthly reports.
  • Handle telephone queries, liaise with company departments, log calls with client FM Helpdesk, and manage internal portal for reactive maintenance jobs.
  • Collaborate with internal colleagues, third-party consultants, contractors, and client teams to develop solutions.
  • Arrange and assist with property inspections, ensuring that property files are up to date.
  • Draft input forms for our accounts team and manage inbox communication.
  • Regularly liaise with tenants, providing feedback from inspections and addressing lease/Health & Safety requirements.
  • Create lease abstract proformas and other data amendment proformas.
  • Assist with licences to alter and assignments.
  • Maintain and update various internal tracker documents on current Work in Progress matters.
  • Attend client meetings and monitor actions agreed with clients and colleagues on ongoing activities.
  • Liaise with internal accounting teams and assist in arrears recovery.
Required Skills & Qualifications:
  • Intermediate knowledge of Microsoft Office products.
  • Excellent organisation and communication skills, both oral and written.
  • Ability to work under pressure and to tight deadlines.
  • Focus on productivity and efficiency when managing workload.
  • Team player, able to carry out instructions as well as work on own initiative.
  • Experience in building and maintaining sustainable and mutually beneficial relationships.
