Job Summary:



Note: Position located in Binghamton, NY




Perform Secretary 1 tasks in support of Academic Affairs and Student Affairs. Initiate cyclical activities without prompting, assuring that critical deadlines are met. Interact with students, referring them to higher-level guidance as appropriate. This is a pivotal position and the incumbent must perform the duties with a great deal of independence, self-motivation, discretion, and foresight. A proven, high level of computer literacy is important.



General Support: Cover phones. Provide support for meetings, video conferences, faculty, staff, and student events and other functions.



Academic Affairs Support:

Serve as Clerkship Administrator for assigned clerkship(s), coordinating and managing all administrative activities of the clerkship, including but not limited to: Create clerkship schedules. Schedule lectures. Communicate with clerkship faculty. Distribute syllabus and course objectives. Schedule standardized patient exams (SPE) with SPE coordinator. Maintain assignments and course materials on Blackboard. Assist with clerkship orientation. Monitor student completion of clerkship requirement and enter data into Blackboard. Set up, assist with and monitor student logging and faculty evaluations in MedHub. Proctor exams. Download and distribute exam results. Attend clerkship related meetings.



Execute activities directed by the Associate Dean for Academic Affairs including but not limited to: Generate faculty activity reports. Report student progress in completing clerkship requirements. Share feedback from students and faculty about the clerkship. Implement clerkship changes as directed.



Provide administrative support to the Binghamton Campus Research Committee. Coordinate the annual Binghamton Biomedical Research Conference.



Student Affairs Activities Support:

Support activities initiated by Student Affairs, including securing date and venue, sending invitations, managing RSVPs, arranging for catering, preparing materials, and staffing the event. Support activities initiated by the class officers. Assist with MS3 orientation. Coordinate the annual Student Clinician Ceremony, including sending invitations, arranging for catering, printing program and staffing the event. Coordinate the annual Career Advisory Dinner working with the Upstate Alumni Foundation. Assist with MS1/MS2 activities, including introductory meetings and apartment crawl. Assist Medical Director of Student Health with tracking annual student influenza vaccinations. Maintain email lists of MS1 - MS4 classes for communication.









Minimum Qualifications:



New York State Department of Civil Service Eligible List or eligible for transfer.









Preferred Qualifications:



Working knowledge of and ability to use word processing, spreadsheet, and database software.









Work Days:



Monday - Friday, Days (work hours to be determined)




Schedule based on a 37.5 hour work week.
