Owen Reed is looking for a Facilities Assistant for a top law firm in London.

We are seeking a proactive and reliable Facilities Assistant to join a prestigious international law firm in London. This is a varied, hands-on role supporting facilities, office services, post room operations, and reprographics. It’s ideal for someone who enjoys a busy environment, takes pride in maintaining high standards, and can deliver excellent internal service across the firm.

Key Responsibilities

Office & Facilities Support

  • Manage post room duties including deliveries, scanning, courier bookings, and overseas dispatches.
  • Carry out regular post collections and distribute mail across all office floors.
  • Monitor office equipment and arrange engineer call-outs when required.
  • Track and replenish stationery and supplies, keeping all areas tidy and organised.
  • Set up, move, and reconfigure rooms for meetings and internal use.
  • Assist with manual handling such as moving boxes, files, and furniture.

Onboarding, H&S & Environmental

  • Support new joiner and leaver processes, following set checklists.
  • Handle confidential waste and recycling collections.
  • Maintain refuse and storage areas, escalating issues when required.
  • Provide reception/security desk cover for scheduled breaks.

Reprographics Support

  • Assist with printing, scanning, photocopying, binding, and document finishing.
  • Ensure all work is accurate, high quality, and completed to deadline.
  • Maintain up-to-date knowledge of reprographics equipment.
What We’re Looking For
  • Experience in Facilities or Office Services, ideally within a professional environment.
  • Strong communication skills with the ability to interact at all levels.
  • Good working knowledge of Microsoft Office and reprographics machinery.
  • Highly organised, practical, and able to prioritise tasks independently.
  • Professional, proactive, and a strong team player with a positive attitude.
  • Able to maintain confidentiality and work flexibly when needed.
Hours

37.5 hours per week, working within a rota between 8:30am–6:00pm. Flexibility required during peak periods.
