Lettings Administrator Northampton£25,000Monday – Friday 9am – 17:30pmAre you an organised multitasker with a passion for property and people? We’re looking for a proactive Lettings Administrator to join our reputable client in Northampton. The Lettings Administrator supports the day-to-day operations of a property lettings agency by delivering efficient administrative services. You’ll be the backbone of the team, liaising with tenants and landlords, coordinating property processes, and ensuring compliance with legal and operational requirements.Key Responsibilities:Tenancy & Property Administration
  • Conduct OFSI checks on existing tenants
  • Prepare, process, and manage tenancy agreements and variations
  • Issue and manage tenant notices
  • Maintain accurate property and tenancy records
  • Coordinate property visits and inspections
  • Manage check-out procedures, including reports and deposit returns
  • Monitor and manage safety certificates to ensure compliance
  • Handle maintenance requests and liaise with contractors
  • Oversee utilities administration for managed properties
  • Process invoices accurately and in a timely manner
  • Handle rent and deposit payments
  • Respond to tenant and landlord enquiries via phone and email
  • Schedule and coordinate property viewings
  • Maintain key register
  • Perform general administrative duties including scanning, filing, and archiving
The Ideal Candidate:
  • Excellent administrative and organisational skills with strong attention to detail.
  • A minimum of 2 years in a service related role, lettings/property experience desirable
  • Strong written and verbal communication skills.
  • Proficient in Microsoft Office (Word, Excel, Outlook) and able to adapt quickly to new software.
  • Ability to manage multiple tasks and meet tight deadlines.
  • Basic knowledge of current lettings legislation and compliance requirements (Right to Rent, deposit protection, safety certificates, etc) – highly desirable.
  • Professional and customer-focused approach
  • Reliable, proactive, and able to work independently and as part of a team.
  • High level of integrity and confidentiality when handling sensitive information.
